Exhibitor Information for ARC's World Industry Forum

ARC would like to thank you for your sponsorship of our World Industry Forum 2012 in Orlando, February 6-9, 2012.  We look forward to working with you and your team to ensure your sponsorship is a success.  Please do not hesitate to contact us with questions and/or comments.  Following is useful information and details pertaining to your sponsorship.  A complete exhibitor manual with branding opportunities will be sent to you via email.

Official General Service Contractor
In order to assure orderly and efficient installation, decorating, cleaning, and removal of displays, ARC has appointed Freeman Exposition Services as the Official General Service Contractor.  Freeman will be sending you a complete manual for shipping and other services upon signing of contract with ARC.  

This firm has been selected to provide you with any or all of the following services and products:  furniture, graphics, drayage, display labor, display rentals, rigging, and storage.  ARC will pay Freeman Exposition Services for any cleaning charges; the sponsor is responsible for all other charges in regards to your exhibit. Travel and Lodging
The Forum will take place at the Renaissance Orlando at SeaWorld Marriott.  ARC has a contracted rate of $185 per night at the Renaissance based on availability within the group block. To obtain this rate, please make reservations on-line at resweb.passkey.com/go/arc2012 or call 800-266-9432 (when calling, please refer to the group block name of ARC Advisory Group 2012).  

In-room Internet (compliments of ARC) and 24-hour gym use is provided to all ARC Forum attendees.

Selection of Exhibit Location
Sponsors select their exhibit location in early January 2012.  Selection is by level of sponsorship and date of sponsor sale with ARC.  ARC’s Events Director will contact you when it is your time to make your selection.

Booth Cleaning 
Pre-show and daily booth cleaning will be provided and will consist of vacuuming booth space and emptying wastebaskets.

Carpeting
The show hall is carpeted.  Every effort will be made to run the utility lines behind exhibit spaces on perimeter of wall.  Additional carpet overlay is not permitted.

Table Tops and Exhibit Space
The Showcase area is located in Oceans Ballrooms 1-4.  ARC will provide a 6’ wide by 30" deep black skirted table, an 11" x17" sign of your company logo, 2 chairs, a waste can, and an easel for your space.   Demos/Pop-ups/Back Drops are welcome as long as they are either placed on the table, behind your table, or in place of your table.

  • Platinum and Gold Sponsors:  The total area for your complete display is 10' wide x 6' deep.
  • Silver Sponsors: The total area for your complete display is 8' wide x 6' deep.

The exhibit space will be piped and draped by Freeman.  There will be a 8' high back wall and 3' high side wall drapes.  Going beyond your space is not permitted.   If you prefer NOT to have a table at your exhibit space, please alert Kim Coffman by January 15.

Hanging Signs
Use of hanging signs on walls will not be permitted, however, you may work with Freeman if you want to hang signs on the back wall drape in your exhibit space.

Internet
Complimentary wireless Internet will be provided to all exhibitors in the exhibit hall.  Log-in information will be provided during setup.  If hardwired Internet is required, please order through the hotel’s AV provider.

Electrical
ARC will provide 5 Amp standard power to all sponsors.  Should you require more power, you may work with Freeman on additional needs.   Power strips are not provided, so please bring those with you if needed.  You may also rent on-site from Freeman.

Restrictions
Please advise ARC and Freeman Exposition if you are planning to bring anything into the show hall weighing over 2,000 lbs., if you are shipping anything via flatbed, or if you have freight that requires special handling.  Charges will be applied accordingly.

Please ensure that you keep your overall display to the allowed space of 10 or 8 feet.   Any items that do not fit within your space will be taken off the floor and stored with Freeman.  Charges will be applied accordingly. 

Exhibit Schedule and Staffing Times
The Showcase Area is located in Oceans Ballrooms 1-4. 

  • Move In and Set Up:  Monday, February 6, 10 AM – 5 PM.
  • ARC Welcome Reception:  Monday, February 6, 6 – 9 PM.
  • Continental Breakfasts and Breaks:  Tuesday, February 7 and Wednesday, February 8.   Both breakfasts and all breaks will take place in the Showcase Area.  Breakfasts are 7 – 8:30 AM, morning breaks are 10 – 10:30 AM, and afternoon breaks are 3 – 3:30 PM.
  • Foul Weather Lunch Location:  In the event that lunch is served in the Showcase Area, seating will be concentrated in the Exhibit Halls.  ARC does not require that you staff your booths at this time, but feel free to do so.
  • Move Out:  Wednesday, February 8, 3:30 PM - immediately after the afternoon break. Tear down must be complete by 6 PM.  Please do not break down your exhibit before the break concludes.
